This role is responsible for building and maintaining relationships with both internal and external Third Parties and acting as designated point of contact in relation to a portfolio of properties taking full ownership for managing work volumes and priorities and to produce work of the highest standards.
Responsibilities:
- Lead site operations staff and report operational issues to the Assistant Centre Manager or Centre/Building Manager.
- Support senior operations executive duties in day-to-day operations and tenant relations, including coordination of tenant/owner requests and administration of maintenance services.
- Follow all standard procedures and policies to ensure daily operations are conducted in accordance with approved guidelines.
- Provide tenants/owners and suppliers with assistance in scheduling building maintenance, communicating building procedures, and providing general building information.
- Deliver high-quality customer service and maintain up-to-date daily and emergency contact lists, as well as tenant/owner information.
- Support the Assistant Centre Manager (or Centre/Building Manager) by preparing, modifying, and distributing forms, spreadsheets, manuals, information packages, and other typed documents.
- Contribute to overall management office operational requirements.
- Maintain and update tenant/owner contact information and after-hours access details as necessary.
- Maintain incident records immediately upon occurrence, including emergency contact information and master tenant email listings.
- Handle miscellaneous assignments as requested by management.
- Maintain a well-organized filing system for drawings, contracts, purchase orders, and related documents.
- Assist with coordination of rental and utility bill collections.
- Conduct daily site inspections according to the duty roster and report findings to the Assistant Centre Manager or Centre/Building Manager.
- Request public area information stickers from Head Office for all centers/buildings as required for operational needs.
- Issue car passes, seasonal parking cards, shop house cards, VIP car passes, entrance cards for owners, tenant staff, and contractor passes as per approved requisitions from all centres/buildings operations.
- Assist with tenant/owner and supplier communications as needed.
- Prepare weekly meeting minutes, store checklists, and night checklists for all centres/buildings and report to the Assistant Centre Manager or Centre/Building Manager.
- Perform any other responsibilities as assigned by management.
Requirements:
- Bachelor’s degree
- Excellent business communication skills
- Strong knowledge of customer service
- 2–3 years of administrative experience in a supervisory role in an office environment
- Customer service, sales, or marketing experience in the hospitality, service, or similar industry
- Excellent customer service skills
- Strong written and verbal communication skills
- High standard of work, accurate record-keeping, and attention to detail
- Able to communicate effectively with internal staff and senior management
- Computer literate with working knowledge of Word and Excel, and preferably QuickBooks
- Able to resolve complaints from tenants and visitors in a timely and effective manner
- Confident, self-motivated, innovative, and capable of working under pressure
- Able to work collaboratively with other staff and departments
- Able to work flexibly and in an organized manner
- Able to prioritize work demands and manage competing priorities
