Responsible for building and maintaining relationships with both internal and external Third Parties and acting as designated point of contact in relation to a portfolio of properties taking full ownership for managing work volumes and priorities and to produce work of the highest standards.

Job Description

  • Manage daily operations and tenant relations by coordinating tenant and owner requests and overseeing the administration of maintenance services.
  • Follow all standard procedures and policies to ensure the daily operations are conducted according to approved policies and procedures.
  • Provide tenants/owners and suppliers with assistance in all aspects of scheduling building maintenance communicating building procedures and supplying general building information.
  • Provide high quality of customer service, update and maintain current daily and emergency contact lists and tenant/owner information.
  • Provide support to Operations Team Leader (or) Assistant Centre Manager (Centre/Building Manager) by producing, modifying and /or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type- written information.
  • Contribute toward overall management office operational needs.
  • Maintain and update as necessary all tenant/owner contact information, after hour access.
  • Maintain reported Incidents immediately upon occurrence and emergency contact information as well as a master tenant contact e-mail address listing.
  • Handle miscellaneous assignments as requested by management.
  • Maintained highly organized filing system of drawings, contracts and POs etc.
  • Assist with the coordination of rental/utility bill collections.
  • Conduct daily round check according to duty roster and report to team leader (or) Assistant Centre Manager (or) Centre Manager (or) Building Manager.
  • Preparing and issuing public area’s information stickers for all Centre/ Building according to operational needs.
  • Issue car pass cards, seasonal car passes cards, shop house cards, VIP car pass cards, entrance card for owners, tenant’s staff and contractor pass cards order requisition from all Centre/Building Operation.
  • Assist with tenant/owner and supplier related interface as needed.
  • Prepare all Centre/Building weekly meeting minutes, store checklist and night checklist and report to Team Leader (or) Assistant Centre Manager (or) Centre Manager (or) Building Manager.
  • Any other responsibilities as assigned by the management.

Requirements

  • Bachelor’s degree
  • 2-3 years administrative experience in supervision role in office environment
  • Excellent Customer Service skills
  • Strong written and verbal communication skills
  • High standard of work, accurate record keeping and attention to detail
  • Able to communicate effectively with internal staff and top management
  • Computer literate with working knowledge of Word and Excel, and preferably QuickBooks
  • Able to resolve complaints from tenants and visitors in a timely and effective manner
  • Confident, self-motivated, innovative and capable to work under pressure
  • Able to work collaboratively with other staff and departments
  • Able to work flexibly and in an organized manner
  • Able to priorities work demands and conflicting priorities
